Terms and Conditions
Booking
If you book via phone or email we will confirm the booking and hold your dates for seven days. This allows you seven days to complete and send your booking form to us with a 25%, non-refundable deposit. We accept payment by bank transfer or cheque. If after seven days from confirmation we have not received your booking form or deposit you may lose the booking.
Following a deposit payment the balance due must be made no later than four weeks prior to your stay. For bookings undertaken within four weeks of the stay the full amount is required.
We reserve the right to amend any pricing or descriptions of Cledan Valley at any time. Any inconsistency in pricing found between enquiry and booking howsoever caused is overruled by the price shown on the booking confirmation.
Cancellations
If you need to amend your holiday please contact us as soon as you can. We will make every effort to meet your needs but cannot guarantee that amendments can be made. If you are unable to amend your booking and therefore choose not to stay this will be considered a cancellation.
If amendments are agreed then any additional cost due for the new booking must be paid by you and any reduction in cost will be returned to you.
If you need to cancel your stay please inform us as soon as possible. We will allow, at our discretion, the option for transferring your booked dates to a more suitable time at no additional charge. Where alternate dates are not possible but we can re-sell your dates we will provide a refund of your deposit and/or full payment less a 10% administrative charge. Where we cannot re-sell your dates you will lose your deposit.
Should we need to cancel your stay we will provide a full refund however we cannot be held liable for any other loss, including consequential loss that you may suffer. We suggest that you consider taking out insurance against loss due to cancellation.
Arrival and Departure
You are able to arrive from 3pm on the first day of your booking. Your departure time is 11am on the final day.
Behaviour and Attitude
We are a relaxed and flexible site however we realise that people stay with us to get some peace. Therefore we ask that you do not play amplified music on site and keep noise to a minimum at night.
Please be respectful to others on site and take care to keep the area tidy, particularly shared areas.
All rubbish and waste must be sorted and placed in the correct bins within our refuse areas.
We have provided shoe racks within the accommodation, please do not wear filthy shoes/wellies inside the tent.
We reserve the right, at our discretion, to ask guests who behave inappropriately to leave the site and refuse future bookings, should this happen no refund will be paid.
Damage and Breakage
We accept that accidents happen. If you do break or damage any item please report it to us immediately so that we can replace or repair it. We do reserve the right to charge for replacement or repair but will only do so where events have occurred beyond what can reasonably be expected as fair wear and tear.
Food
We understand that the vast majority of guests will be bringing their own food and drink supplies. We ask that they secure edible items in cool boxes or similar so as not to provide an attraction for pests. We supply clean cutlery, crockery and cooking utensils as well as hot water and washing up liquid however it remains the guests own responsibility to ensure they maintain good food hygiene.
We will leave locally made cakes and similar treats in the accommodation for certain guests, these will have been made by professional third parties and will have dates and allergen information clearly marked.
For those guests that purchase a breakfast hamper we will ensure the ingredients will arrive in a manner that is suitable for safe food handling such as correctly packaged and at suitable temperature, it is however the responsibility of the guest to keep those items safe and to appraise them before use.
Cool boxes are provided which are animal proof and can be used to keep food items cool using the ice pack supplied, new ice packs are left for you daily for exchange and more are available upon request.
Your own alcohol can be enjoyed on site but please use it responsibly.
Guests are to ensure that their rubbish and food waste is disposed of properly using the waste facilities provided.
General Safety
Please be aware that you will be responsible for your own washing up and waste which needs to be sorted into the correct bins at the waste stations.
This is a wild area, please do not leave out food or food waste.
All accommodation, shower block and lodge are strictly no smoking.
Campfires must be kept small and manageable, they must be attended at all times and placed only in the provided fire pit or fire bowl areas.. Fireworks, pyrotechnics, Chinese/candle lanterns are not permitted on site.
We supply candles, they must be used within their holder. Paraffin lamps and similar are forbidden on site.
Accommodation with wood burners also contain fire-fighting equipment, smoke and carbon monoxide testers, these are checked prior to your stay however if the batteries die during your stay it is your responsibility to either inform us so we can change them or change them yourself. Please read about your fire in the welcome pack.
Pets are not permitted (unless service dogs such as guide dogs)
Please bear in mind that this is a wild and natural place. There is undulating ground, rivers, tent pegs and other potential hazards, while we take great care to keep you safe you are responsible for your own behaviour and children must be supervised at all times. Cledan Valley Ltd. accepts no liability for:
1. Theft, loss or damage, of whatever nature, during or as a result of a stay with us
2. Falling into defect or putting out of action of technical equipment and loss of closure of supplies at Cledan Valley Ltd.
3. The tenant and those who accompany him or her are jointly and severally responsible for all loss and/or damage which arises for Cledan Valley Ltd. and/or any third party as a direct or an indirect consequence of their stay, irrespective of whether this was caused through actions or refraining from actions by themselves or by third parties who on site through their making.
4. If you leave your tent in an improper condition additional (cleaning) costs can be charged
5. Nothing in these terms and conditions excludes or limits our liability
(i) for the death or personal injury caused by our negligence
(ii) for any matter which it would be illegal for us to exclude/limit or attempt to exclude/limit our liability
Flooding
Our planning permission requires us to mention that four of our accommodations are sited close to a river and within a flood risk area. Should the river ever rise alarmingly you must not approach it and may be asked to evacuate to the Lodge, we have a flood evacuation plan in place.
These Terms and Conditions
These terms and conditions are drafted in accordance with the laws of England and Wales, the Courts of England and Wales have exclusive jurisdiction over any conflict arising from them. In the event that a court finds that a condition in these Terms & Conditions is illegal or void, the illegal or void provision will be severed from the remainder of the Terms & Conditions, which will continue to be valid and have full force and effect.

Privacy Policy :: GDPR
This is the Privacy Policy for Cledan Valley Ltd.
As part of the day to day business dealings with our guests we record your name, email and address and phone number at the time of booking. If booking through Airbnb we simply take your name (we may also obtain your phone number if you have allowed this as part of your settings) as your other personal information is held by Airbnb themselves. We are specifically required as part of our initial Planning Authority Consent that our business must record the names and addresses of all guests who stay with us. We collect only the information that we need in order to perform our business functions.
Your information is held securely on a third party booking system (Checkfront or Airbnb) and accessed by our computers which are protected by AVG and Zonealarm. The Checkfront booking system is a secure, password protected professional system and the information stored within the system remains that of Cledan Valley. Checkfront do not share or market this information. Airbnb keep your information secure, they share only the names of guests with us and any interaction is handled directly through their processes to which you have independently subscribed.
We do not sell or share your information with third parties. From time to time we like to contact our guests via their email to let them know of any special offers or opportunities that may be available to them. We also provide an annual prize draw (in December) for any guest that has provided us with an online review on a social media platform or Tripadvisor. This contact comes directly from us to you because you have stayed with us.

Data & Use
The following describes how your personal information is collected, used, and shared when you visit or submit contact information via www.cledanvalley.co.uk (the “Site”).
PERSONAL INFORMATION WE COLLECT
When you visit the Site, we automatically collect certain information about your device, including information about your web browser, IP address and time zone. Additionally, as you browse the Site, we collect information about the individual web pages or products that you view, what websites or search terms referred you to the Site, and information about how you interact with the Site. YOUR RIGHTS
If you are a European resident, you have the right to access personal information we hold about you and to ask that your personal information be corrected, updated, or deleted. If you would like to exercise this right, please contact us through the contact information below.

When you place an order/booking or contact us through the Site or email, we will maintain your Order/booking contact Information for our records unless and until you ask us to delete this information.
